Position Summary

The Assistant Director of Equipment Operations supports the daily management and coordination of athletic equipment services for varsity sport programs. This position oversees equipment operations, inventory management, transportation logistics, procurement activities, and staff supervision to ensure efficient and compliant support of athletic department operations. The role works closely with coaches, athletics administrators, vendors, and student staff to maintain high operational standards and provide exceptional service to student-athletes and athletic programs.

Essential Duties and Responsibilities

Equipment Operations

  • Oversee daily equipment room operations, including the issuance, return, maintenance, and repair of athletic equipment, apparel, and footwear.
  • Manage equipment services for assigned varsity sport programs, ensuring readiness for practices, competitions, and postseason play.
  • Coordinate practice and game-day operations, including equipment setup, breakdown, and transportation.
  • Ensure locker rooms and equipment areas are clean, organized, and maintained according to departmental operational standards.

Inventory Management

  • Assist in managing computerized inventory control and point-of-sale (POS) systems.
  • Monitor inventory levels, usage trends, and equipment lifecycle data to support effective replacement and redistribution strategies.
  • Track and reconcile equipment-related expenditures and assist the Director in monitoring budget activity.
  • Provide input on budget planning, forecasting, and cost-control initiatives.
  • Maintain accurate records related to sizing, issuance history, and equipment tracking.
  • Enforce inventory control procedures and security protocols to minimize equipment loss and ensure accountability.

Transportation Coordination

  • Assist in coordinating departmental transportation, including team travel logistics and movement of athletic equipment.
  • Support scheduling, tracking, and maintenance coordination of departmental vehicles.
  • Maintain accurate vehicle usage records and assist in ensuring vehicles meet safe operating standards.
  • Collaborate with Risk Management to ensure compliance with transportation and safety protocols.

Procurement & Vendor Relations

  • Support the procurement of athletic apparel, equipment, and footwear in collaboration with the Director.
  • Serve as a secondary contact for vendors and manufacturers to coordinate orders, deliveries, and issue resolution.
  • Collaborate with coaches, sport administrators, and the athletics business office to identify and fulfill equipment needs.
  • Assist in evaluating product quality, pricing, and vendor performance.

Staff Supervision

  • Supervise interns and student workers, including scheduling, training, and daily oversight.
  • Assist with staff evaluations and foster a culture of accountability and high performance.
  • Ensure appropriate staffing coverage and efficient workflow across equipment operations.
  • Support the distribution of apparel, participation awards, and postseason honors in compliance with NCAA and University regulations.

Qualifications

  • Bachelor’s degree required
  • Minimum of 3–5 years of  full time experience in athletic equipment operations or a related field, including experience working with intercollegiate athletic programs, preferably at the NCAA level
  • Experience overseeing inventory systems and supporting equipment room operations
  • Prior experience supervising student workers, interns, or part-time staff preferred
  • Ability to manage multiple priorities in a fast-paced, team-oriented environment
  • Knowledge of NCAA rules and regulations related to equipment and student-athlete benefits

Physical Requirements

  • Ability to lift and transport athletic equipment and supplies.
  • Ability to work evenings, weekends, holidays, and travel as required by athletic schedules.
  • Ability to stand, walk, bend, and perform physical tasks associated with equipment operations.

Work Environment

This position operates in athletic facilities, locker rooms, equipment rooms, and event venues with frequent interaction with coaches, student-athletes, vendors, and athletics staff.

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$39,930.00 – $59,694.78
